Broad Scope and Function

The position provides support to the Dining Services Manager – Administration & Compliance and assists with coordination of information between all dining service entities. The position works closely with the Dining Service Management team, Dining Services Clerks, Human Resources, Business Services, Property Services, Marketing and Payroll staff.

Reporting Relationship

The position reports directly to and receives general supervision from the Dining Services Manager – Administration & Compliance.

Conditions of Employment

This is a full-time, non-exempt (eligible for overtime pay), benefited position that is covered under the California Public Employees’ Retirement System. Continued employment in this position is dependent upon the mutual consent of University Enterprises and the employee, and either University Enterprises or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Work Schedule

Monday – Friday 8:00 am – 5:00 pm.

Minimum Qualifications

1. Demonstrated skills in modern office methods, procedures, and practices. Ability to plan, organize, and perform a variety of office support work; correspondence; organize data; develop and maintain files; operate a variety of office equipment.

2. Demonstrated work experience in performing a variety of office and support assignments including receptionist experience.

3. Demonstrated ability to interact effectively with staff, faculty and student groups and organizations in person, via E-mail, phone, and in writing.

4. Demonstrated experience effectively communicating and working with all levels of employees and/or customers while maintaining a professional demeanor and exercising tact and good judgment.

5. Excellent command of English usage including grammar, spelling, and punctuation.

6. Excellent oral & written communication skills.

7. Demonstrated skill in the use of computer applications including word processing, spreadsheet, and database software.

8. Demonstrated ability to establish and maintain job priorities when there are changes in the workload, frequent interruptions, and competing deadlines.

9. Demonstrated ability to work independently with little direction.

10. Must pass a background check, which may include fingerprinting. Must continue to meet the established standards.

Preferred Qualifications

1. Knowledge of a University environment.

Physical Requirements

Stand and walk for extended periods; manual dexterity and eye-hand coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer terminals, telephones, calculators, registers, copiers and FAX.

Working Conditions

Work is performed in an office and kitchen environment; some exposure to heat and moisture; some exposure to grease and oils; continuous contact with staff, campus community, and public.

01. Maintains Dining Services Director’s Outlook calendar, sets up appointments, coordinates and schedules meetings, and provides background information if appropriate; attends and takes notes at meetings as requested.

02. Answers phone, directs callers, or takes messages. Greets, directs and assists customers, provides a variety of information about the Dining Services programs, policies, and procedures. Provides written and verbal communication to a variety of audiences for Manager, Administration & Compliance, as appropriate.

03. Assists with meal card printing, answering customer inquiries, and processing meal plan payments.

04. Retrieves, distributes, and opens department mail and responds to routine matters. Notifies Manager – Administration & Compliance of mail needing immediate attention and follows up as instructed.

05. Assists with coordination of outside training programs for Dining Services staff. Prepares training registration and check requests. Assists the Manager – Administration & Compliance in working with Human Resources and Dining Services management staff to coordinate in-house training programs. Assists with coordination of meeting room schedule, set-up, agenda, and works with management staff when training is offered by Dining Services. Assists with preparation of Dining Services travel requests, travel arrangements, registrations, and travel claims.

06. Assists with coordination of information between all Dining Services entities. Assists with scheduling weekly meetings with the Dining Services management staff; vendor meetings as needed, including coordinating meeting room schedule, set-up, and agenda. Ensures that meeting minutes are written and distributed.

07. Assists with coordination of vending machine operations including, but not limited to, administering vending machine refunds, working with the vending companies, updating vending asset numbers and locations, and responding to customer requests and complaints.

08. Assists in communication with city/county health departments including, but not limited to coordinating outside catering approvals; reviewing vendor and self-operated inspection reports; and ensuring that any violations are corrected in the timeframe given by County Health.

09. Provides information to Administration to obtain parking permits, vendor permits, “Business Zone” permits, and “Authorization to Purchase” requests for Dining Services management staff, vendors and guests. Maintains permit log.

10. Assists with coordination of all donation and fundraising requests to vendors. Assists with the maintenance of a log of all donation/fundraising requests to ensure equity is maintained for all student organizations and campus community.

11. Coordinates Meal Ticket orders with off-campus printer, Business Services, and the customer. Copies and distributes Meal Ticket orders to Dining Services Management, Vendors, and Business Services.

12. Assists with maintaining sustainability programs by compiling and organizing data, maintaining records, and preparing reports regarding sustainable initiatives.

13. Prepares Dining Services “Operation Hours Schedule” and “Operation Hours Comparison Schedule” for Fall, Spring, and Summer semesters and Winter and Spring Breaks. Prepares Marketing work orders and verifies proofs for operation hours signs. Works with the University Union Building staff to ensure accurate operation hours are reported for University Union signage. Distributes finished signs to Dining Services and Vendors food service units for posting.

14. Submits work orders to Property Services and follows up on requests as needed. Serves as primary point of contact for contracted Day Porter and ensures daily tasks are completed. Notifies Manager – Administration & Compliance of problems or lapses in service and works with Property Services as needed.
