Office of Water Programs
This position is a temporary, one-year assignment
University Enterprises, Inc. (UEI) at Sacramento State is seeking an Administrative Support Coordinator I - Research for the Office of Water Programs (OWP). OWP publishes the industry standard in drinking water and wastewater training materials and provides valuable, science-based applied research services for water management in California and elsewhere.
RATE OF PAY: $3,252 - $4,877 per month

CONDITIONS OF EMPLOYMENT: This is a full-time, temporary up to one year, non-exempt (eligible for overtime pay) benefited position that is covered under the California Public Employees’ Retirement System. Continued employment in this position is dependent upon the mutual consent of University Enterprises and the employee, and either University Enterprises or the employee can, at any time, terminate the employment relationship at will, with or without cause.
Sacramento State requires all campus employees, including auxiliary employees, to be fully vaccinated, including a booster, against COVID-19 unless they have a qualifying exemption.
MINIMUM QUALIFICATIONS
1. Demonstrated professional experience in an administrative support position.
2. Demonstrated knowledge of current office methods and practices. Demonstrated experience using standard business computer software, including word processing and spreadsheet applications, such as the programs in the Microsoft Office Suite.
3. Demonstrated experience creating and updating spreadsheets to track data.
4. Demonstrated ability to perform business math, analyze basic financial data, and make accurate projections based on interpreting the data presented.
5. Demonstrated ability to work independently with little direction, coordinate many different tasks, determine the relative importance of each, set deadlines, and complete projects accordingly.
6. Excellent written and oral communication skills.
7. Demonstrated ability to read and interpret policy and procedures documents and operating instructions. Ability to write routine reports and correspondence. Ability to speak effectively before groups of clients or employees of organizations.
8. Basic knowledge of web-based, interactive meeting systems, e.g., Zoom and Microsoft Teams.
9. Must be legally eligible to drive in California, complete and pass an online training course, maintain a good driving record, and be acceptable for vehicle insurance coverage under the University Enterprises insurance plan. Must continue to meet the established driving standards. Driving record will be monitored with the California Department of Motor Vehicles to ensure compliance.
10. Must pass a background check, which may include fingerprinting. Must continue to meet the established standards.
PREFERRED QUALIFICATIONS
1. Bachelor’s degree or equivalent combination or education and/or work experience.
2. Experience with an engineering or research type organization.
DUTIES AND RESPONSIBILITIES
This position coordinates and performs clerical and administrative support functions for the Research Group and acts as the liaison between the Office of Water Programs, University Enterprises, and contracting agencies. In this position, work is performed independently and as a contributing team member. The position is accountable for end results and work performed by others. The position reports directly to and receives general supervision from the Associate Director of Research for the Office of Water Programs or their designee. The position is responsible for providing work direction to and assigning duties to student assistants.
The specific duties and responsibilities are as follows:
1. Coordinates and performs clerical and administrative support functions. for the Research Group. Provides work direction to office student assistants by establishing work procedures and schedules to expedite workflow. Issues written and oral instructions. Assigns duties and examines work for quality, promptness, and adherence to policies and procedures.
2. Analyzes, organizes, and administers office operations and procedures such as information management (correspondence, e-mail), task assignments, filing systems, requisition of supplies, and other clerical services. Maintains supply stores, determines needs, orders supplies and works with supply companies. Ensures supplies are within budget. Responsible for petty cash accounts. Serves as point of contact with administrative service vendors (e.g., telephone, equipment maintenance).
3. Assists the Associate Director of Research and Director or designee in managing projects within the office by tracking budgets and paperwork, scheduling tasks, and ensuring tasks are completed. Prepares periodic activity reports on status of active projects for management purposes.
4. Acts as the liaison between the Office of Water Programs, funding agencies, and University Enterprises. Ensures that all policies and procedures are followed. Ensures that all travel claims, purchase orders, and check requests are processed promptly with adherence to all policies and procedures.
5. Facilitates workshops, conferences, and webinars for OWP and clients and coordinates outside consultants for these activities.
6. Assists in the maintenance of a technical library. Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records. Distributes completed reports as needed.
7. Promotes office productivity through appropriate use of software applications and office equipment. Researches and makes recommendations on office equipment needs.
8. Assists project staff on occasion with duties that are not clerical or administrative (e.g., joining others in sample collecting, and photographing sampling locations).
9. Sets priorities for self and other support staff. Day-to-day work is performed independently, and work is supervised in terms of overall accomplishments. Assignments and projects are varied and complex with longer work cycles. Projects often involve coordinating, prioritizing, and monitoring administrative support projects through to completion with accountability for end results and work performed by others.
10. Maintains confidentiality in personnel activities; interacts at the highest levels within and outside the University and handles the most sensitive interpersonal situations.
11. Travels between CSUS – Modoc Hall to and from the CSUS – Bookstore Building and periodically to client locations– using personal car (requires proof of insurance and valid driver’s license). May occasionally travel by air within California.
12. Other job-related duties as required.

This is not a University position; the incumbent will be an employee of University Enterprises. University Enterprises operates commercial enterprises on the California State University, Sacramento campus; it is responsible for grant and contract management and fiscal services for University research and sponsored programs and provides fiscal services to University related agencies and activities.
