Broad Scope and Function |
The position performs general clerical functions and office support for programs under the Assistant Vice President (AVP) of Strategic Diversity Initiatives including CAMP and HEP. The position will provide general information and assistance to students. |
Reporting Relationship |
The position reports directly to and receives general supervision from the AVP of Strategic Diversity Initiatives. The position receives periodic work direction from the CAMP and HEP Directors. |
Conditions of Employment |
This position is a full-time, non-exempt (eligible for overtime pay), benefited position, with a defined contribution retirement plan through TIAA. (The position is not covered under the California Public Employees’ Retirement System). Continued employment in this position is dependent upon funding and the mutual consent of University Enterprises and the employee, and either University Enterprises or the employee, can, at any time, terminate the employment relationship at will, with or without cause. Program continuation is contingent upon funding. |

Minimum Qualifications |
1. Demonstrated experience in an administrative support position. 2. Demonstrated skills in modern office methods, procedures, and practices including effective typing, word processing, and telephone skills. 3. Excellent command of the English and Spanish language including grammar, spelling, and punctuation. 4. Demonstrated experience with computer applications including word processing, spreadsheet, database, and internet, such as the programs in the Microsoft Office Suite. 5. Demonstrated experience creating and updating spreadsheets to track financial data. 6. Demonstrated knowledge of basic budget maintenance procedures and practices. 7. Demonstrated experience effectively communicating and working with all levels of employees and/or customers while maintaining a professional demeanor and exercising tact and good judgment. 8. Experience handling and maintaining confidential information. 9. Demonstrated experience working in a multi-cultural environment. 10. Must be legally eligible to drive in California, complete and pass an online training course, maintain a good driving record, and be acceptable for vehicle insurance coverage under the University Enterprises insurance plan. Must continue to meet the established driving standards, driving record will be monitored with the California Department of Motor Vehicles to ensure compliance. Must have reliable transportation. 11. Must be fingerprinted and pass a background check. Must continue to meet the established standards. |

Physical Requirements |
Sit for extended periods; frequently stand and walk; manual dexterity and eye-hand coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computers, telephones, calculators, copiers, printers, scanners, and fax machines. |

01. Screens telephone calls and receives visitors. Determines the nature of the call and whether the call can be handled personally or must be referred. Provides general information and assistance to students. |

04. Reminds staff to submit their time report via the on-line timekeeping system and maintains attendance records. Works with the UEI, University, and ASI payroll departments to resolve discrepancies. |

06. Monitors and maintains accurate inventories of office supplies and equipment. |

07. Maintains AVP’s, Director’s and professional staff’s appointment schedule and calendar of activities. Reminds staff of scheduled events and re-schedules appointments or meetings as necessary to accommodate unexpected changes in priorities or work schedules. |

08. Schedules facility reservations, food orders, and prepares travel requests and vouchers for special events and activities. Coordinates travel arrangements for AVP, Director and professional staff. |

10. Performs other duties as assigned by the AVP and Directors to ensure the success of the program and its participants. |
