Conditions of Employment

This is a full-time, non-exempt (eligible for overtime pay), benefited position that is covered under the California Public Employees’ Retirement System. Continued employment in this position is dependent upon the mutual consent of University Enterprises and the employee, and either University Enterprises or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Minimum Qualifications

1. Demonstrated experience in an administrative support position within an office or other administrative environment.

2. Demonstrated knowledge of current office methods and practices. Demonstrated ability to plan, organize, and perform a variety of secretarial, office support, and administrative detail work; organize data; develop and maintain files; maintain confidentiality of information; operate a variety of office equipment; and prepare reports.

3. Demonstrated experience using standard business computer software, including email, word processing, and spreadsheet software, such as the programs in the Microsoft Office Suite.

4. Demonstrated knowledge of basic bookkeeping procedures and practices.

5. Demonstrated excellent written and verbal communication skills. Demonstrated interpersonal skills working with a diverse population. Ability to explain department policies and procedures to customers in a professional, courteous, and effective manner.

6. Demonstrated ability to work independently with little direction and the ability to coordinate several tasks, determine the relative importance of each, set deadlines, and complete tasks accordingly.

7. Ability to work in a team structure in a busy environment and to demonstrate resourcefulness in resolving issues while maintaining a professional atmosphere and exercising tact and good judgement.

8. Must be legally eligible to drive in California and be acceptable for vehicle insurance coverage under the University Enterprises insurance plan. Must continue to meet the established driving standards. Must possess own transportation for use in traveling to various locations.

9. Must pass a background check, which may include fingerprinting. Must continue to meet the established standards.

Preferred Qualifications

1. AA/AS Degree with a concentration in business, office administration, accounting, or a related discipline.

2. Demonstrated experience using Adobe Acrobat Pro, Microsoft PowerPoint, Microsoft Access, and/or Endnote.

Physical Requirements

Sit for extended periods; frequently stand and walk; good manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; good verbal communication; ability to use office equipment including computers, telephones, calculators, multi-function copiers, printers, scanners, and fax machines. Use of public transportation or own transportation.

Working Conditions

Work is performed in an office environment containing moderate noise. The working conditions include frequent contact with staff, students, campus community, the public, and other agencies by phone or in person.

05. Maintains usage logs of visitor parking permits. Assists in the preparation of quarterly summaries of expenses by account of such usage.
