Senior Administrative Associate, Dean's Office
The George Mason University, School of Business invites applications for the position of Senior Administrative Associate, Dean’s Office. The primary responsibility is to provide back-up support to the Executive Assistant to the Dean including management of the dean’s schedule and associated logistics in accordance with the dean’s priorities and expectations including; receptionist, procurement, calendaring and special project work. This is a full-time classified staff position with full benefits.

Responsibilities:
The Senior Administrative Associate, Dean’s Suite has responsibilities in the following areas:
Reception/Hosting Services
Provide receptionist services for all visitors to the dean’s office and hosting services for the office conference rooms. The first point of contact for all traffic through the Dean’s office. Accepts and sorts mail for the Dean’s office.
Office Administrative Support – Dean
Assist the Executive Assistant (EA) to the Dean’s with the Dean’s schedule and associated activities and logistics in accordance with the Dean’s priorities and expectations, including presentations, speaking engagement, outreach contacts and professional activities. Process travel authorization and reimbursements.
Office Administrative Support – Dean’s Office Leadership Team
Works in conjunction with Dean’s Office colleagues to support the procurement, calendaring, reporting, database management, budget, travel authorizations, accreditation and general office administrative functions for the school as needed. Serves as customer service representative in the Dean’s office for all administrative support inquiries and as back up for Dean’s Executive Assistant. Assign CWS students to provide appropriate administrative support within CWS capabilities to the Dean’s Office Leadership Team when requested.
Coordination of Telecom, Copy Cards, ListServes and Key Control
Coordinate and maintain the Schools telecom, copy card and key control services. Setup new faculty and staff and coordinate changes associated with office moves. Cancel services when faculty and staff leaves. Provide security and financial reports as required.
College Work Study Interns
Works in conjunction with the Dean’s Executive Assistant to coordinate the hiring, training and schedule for the CWS/information desk interns for support of the reception function and routine administrative matters.
Special Projects and Event Planning
Design, develop and execute special projects and assist with event planning.
Required Qualifications:
- High School Diploma or equivalent;
- Proficient in the use of computers with working knowledge of all applications in Microsoft Office, electronic calendaring, and e-mail;
- Ability to organize and manage complex administrative processes;
- Ability to work with senior management personnel;
- Ability to work independently and to complete multiple tasks within tight deadlines;
- Demonstrated, effective interpersonal and organizational skills;
- Skill in verbal and written communication;
- Ability to quickly gain proficiency in web-based database platforms and applications;
- Ability to work effectively as a key member of an administrative support team in a dynamic, fast-paced, demanding environment with frequently changing priorities; and
- Ability to handle matters with discretion and maintain absolute confidentiality in a highly visible office.
Preferred Qualifications:
Knowledge of University and School of Business programs, policies, and procedures; and
Ability and willingness to gain proficiency in software and web-based applications: University applications such as PCard, eVA and Chrome River, reporting formats, and School applications and files.
