Position Description:
Under direction of the CSSO/ Dean of Students, plan, organize, and supervise the operation of the Admissions and Records Office, prepare and maintain a variety of reports, records, data, and documents; and perform related duties as assigned.
Essential Duties:
The following duties are typical of those performed by employees in this job title; however, employees may perform other related duties, and not all duties listed are necessarily performed by each employee in the job title.
• Plans, organizes, assigns and supervises the work of the Admissions and Records Office classified staff
• Develops and implements as approved district admissions and registration procedures; ensures the consistent enforcement of admissions, registration, records and related policies and procedures; interprets, explains and applies codes and regulations
• Supervises Admissions and Records staff, selects job applicants, trains employees, documents performance, provides counseling on work issues, and recommends discipline and improvement plans
• Oversees all student accounts processes; produces statements and ensures compliance with disbursements and refunds in accordance with state/federal regulations, accreditation standards, and college policies and procedures
• Oversees collecting and posting Student Housing fees and reconciles payments with Business Services
• Supervises and participates in the certification of candidates for degrees and certificates, computation of grade point averages, and verification of required coursework and units; coordinates the preparation of diplomas and certificates
• Manages budgets and prepares requisitions; compiles, prepares, summarizes and reports admissions, enrollment, and matriculation data to local, state and federal agencies, including the Chancellor’s Office of the California Community Colleges; supervises data input
• Manages and reports the verification of student athlete eligibility compliance to the California Community College Athletics Association
• Maintains student files and records related to scholastic, attendance and other educational documents required by the state and federal regulations
• Prepares student attendance accounting reports and other documents required by local, state or federal agencies or as requested by administrators; issues forms to instructors
• Manages Student Module of Banner Integrated Software including testing patches and upgrades, reviewing documentation and coordinating with the MIS Coordinator to assure accurate data
• Coordinates with and provides information to instructors and other college departments on admissions and records issues, data processing support, and other matters
• Participates in presentations during recruitment events, orientations, institution days and other faculty and staff meetings
• Monitors unit load and years of education for foreign students; verifies completion of required documents; prepares I-20 forms and obtains signatures
• Oversees all activities related to special enrollments
• Oversees compliance with State regulations regarding out of state students; prepares and distributes required State and Federal forms for students, including but not limited to annual 1098-T forms
• Plans and coordinates the calculation of Student Academic Progress and insures that students are notified of status
• Prepares correspondence pertaining to admissions and records
• Participates in the registration of students and collection of fees as well as issuance of transcripts
• Oversees and participates in the development and updating of forms
• Ensures compliance with all FERPA regulations
• Supervises student workers
• Participates in shared governance of the college, including serving as a member of the calendar committee
• Other duties as assigned
Knowledge of:
• Codes, regulations, policies and procedures governing admissions and records
• Application and capabilities of an integrated student information system used in admissions and records
• Modern office methods, practices, procedures and equipment
• Systems and methods for data and information recordkeeping and filing
Skill in:
• Supervising, training, instructing, appraising and counseling employees
• Evaluating and implementing procedures, standards and methods for operations of the office
• Preparing effective reports and correspondence
• Establishing and directing effective systems for data and file maintenance
• Establishing and maintaining effective working relationships with those encountered in the course of the work
• Reading, interpreting, and applying regulations, policies, procedures and forms related to admissions and records
• Exercising sound independent judgment within policy guidelines
• Ability to identify problems and demonstrate creativity and flexibility in resolving them collaboratively within all segments of the college community
• Database management
• Interpersonal communications skills and public speaking
Minimum Qualifications:
• Bachelor’s Degree
• Three (3) years of progressively responsible experience within a field reasonably related to the essential duties
• One (1) year of supervisory experience
• Demonstrated sensitivity to and understanding of the diverse academic and socio-economic, cultural, disability, and ethnic backgrounds of community college students and staff
