Property Manager
Job Description: Immediate opening for manager for the locally owned and fully leased 300-unit combined Covington Oaks and Olde Towne Apartment Communities in Bowling Green, Kentucky. Responsibilities include supervising a staff of one full time leasing agent and three full time maintenance positions, and all facets of residential property management including utilization of property management software. Experience in residential property management preferred.
Duties and Responsibilities:
-- Oversee/perform leasing of apartment units at Covington Oaks and Olde Towne Apartments to prospective residents by communicating the value of residence at each
-- Keep full staff of 1 full time leasing manager and 3 full time maintenance technicians
-- Responds to phone and email inquiries from prospective residents, delegating to leasing manager and actively participating. Applies sales techniques to schedule tours of the property. Meets with prospective residents and checks the availability of units based on preferences and budget.
-- Prepare yearly budget and monitor progress; prepare reports to evaluate monthly/yearly standing
-- Pay property expenses including taxes, mortgage, payroll, insurance and maintenance expenses; enter all data in management software
-- Collect rent and fees in timely manner; make regular deposits to company bank
-- Inspect property/units upon resident move-out; assess any necessary maintenance fees and arrange for repairs/new materials as needed
-- Investigate and solve property complaints and rental violations
-- Approves/declines prospective resident application based on criteria met/not met for leasing requirements. Ensure all forms and data entry is completed.
-- Approve move-in dates/any concessions with leasing manager for new resident move-ins.
-- Prepare renewal options with leasing manager for expiring leases; assist leasing manager with proactively contacting residents with expiring leases to propose renewals and close the renewal of the lease in advance of the lease expiration. Communicates and reinforces the resident value proposition to overcome resistance and secure renewal agreements.
-- Facilitate marketing efforts in the community to promote positive awareness of the property and increase traffic of prospective residents.
-- Advertise available/upcoming units with paid sources and planned social media; assess the effectiveness of each advertising source
-- Keep pulse on current market; evaluate rental rates and make approved changes as necessary
-- Share duties with leasing manager regarding maintenance service or other needs. Prepares work orders for service and triages requests to staff members as appropriate. Promotes positive resident relations and provides customer service and responsiveness to resident needs and concerns.
-- Ensures adherence to CO + OT policies and safety rules; complies with CO + OT policies for reporting incidents.
-- Monitors the property landscape and other attributes to identify and report potential safety hazards and concerns and to ensure quality property aesthetics.
-- Know daily apartment availability, notices, market rates and turn statuses to be provide most accurate information to potential residents as well as maintenance team and leasing manager
-- Adheres to a varied work schedule, including weekends and some holidays, as required to be available to current and prospective residents.
-- Performs other related duties as assigned to meet the needs of the business.
Required Experience:
-- High school diploma and 1-3 years of experience in leasing, sales, and/or customer service required
-- Business management experience strongly preferred
Preferred Qualifications:
-- Bachelor's degree
-- Business background strongly preferred; entrepreneurial mindset
-- Financial/accounting background preferred
-- Leasing/management experience a plus
Knowledge, Skills, and Abilities:
-- Customer service and interpersonal skills/conflict resolution skills needed to meet with prospective and current tenants, vendors, and community contacts
-- Skill and ability to clearly and concisely communicate verbally and in writing
-- Attention to detail to ensure applications are accurate and tenant issues or questions are adequately addressed
-- Organization and the ability to multitask efficiently; maintain records and multiple schedules
-- Problem-solving to find effective solutions for a variety of potential issues
-- Knowledge of apartment management laws and regulations at the federal, state, and local levels
-- Ability to visually inspect units, grounds, and other aspects of the property to determine adherence to standards
-- Proficiency with Microsoft Office applications (Word, Excel, Outlook and PowerPoint); excel formulas/spreadsheet knowledge
-- Ability to maintain confidentiality and maintain appropriate discretion
-- Ability to work 40 hours/week, including weekends, if needed
-- Experience in creating and implementing outreach marketing plans.
