The Director of Operations is an exempt, management position that performs professional work and reports to the Executive Director. The Director of Operations oversees several operational areas including finance, facilities, information technology, contracts, shipping and receiving as well as administrative office support. This position works closely with members of the Board of Directors, volunteer commissions and committees as well as with all staff and external partners and vendors.

Essential Functions

  • Supervises the accounting manager and, in consultation with the Treasurer and Executive Director, ensures healthy fiscal operations, including: accuracy of financial data; proactive monitoring of revenues and expenses; effective budget development, implementation and tracking; conformity with all generally accepted accounting standards and procedures; annual audit preparation; proper internal controls; payroll and benefits administration; and filing of all appropriate forms and reports.
  • Supervises the Meetings & Facilities Specialist to ensure that facilities needs are appropriately planned for and addressed per policies and direction provided by the Board of Directors, in order to maintain and maximize the association’s capital investments, and meet the needs of volunteers and staff; Reviews all facilities plans and agreements.
  • Reviews contracts and coordinates approvals with the President. Ensures that all signed contracts and all association records are properly maintained on file along with supporting insurance and tax-filing documents. Oversees processes for developing and issuing Requests for Proposals (RFPs) for services.
  • In consultation with the Treasurer and others as appropriate, works with the PTA insurance broker and its agents to research, strengthen and negotiate insurance policies/plans.
  • Leads cross-departmental staff team to identify, research and recommend ways to the Board of Directors to address current and emerging technology needs of member units, councils and districts, as well as state office including development and implementation of the Strategic Technology Plan.
  • Develops, implements and manages internal programs and services to support PTA state leaders, as well as districts, councils and units, in the areas related to:
  • Tax filing requirements (primarily through the Tax Filing Support Center)
  • Accounting and financial services (primarily through PTAEZ).
  • Represents and communicates on behalf of the association with state and federal entities on tax compliance matters, as designated.
  • Ensures daily office support is provided with a high-level of customer service including front desk, mail, printing, shipping and receiving.

Staff Supervision

This position directly supervises the Accounting Manager, Meetings & Facilities Specialist, Technology Systems Specialist, Shipping & Production Clerk and the Office Assistant.  This position may also at times have additional direct or indirect supervisory responsibilities related to other staff, as authorized by the Executive Director.

Desired Qualifications

  • Bachelor’s degree or higher. Business, finance or organizational development preferred
  • Minimum 3-5 years of progressive management experience in operations
  • Strong organizational skills and demonstrated capacity to develop and implement systems, plans and solutions to advance association objectives and streamline processes
  • The ability to prioritize tasks and projects with little direction and supervision
  • Ability to multitask and assess, accept/make changes quickly to meet timelines
  • Extensive knowledge of MS Office programs.
  • Experience coordinating teams and projects; ability to work well with people in a professional environment
  • Ability to work with professional staff as well as volunteers
  • Excellent writing skills and strong presentation skills
  • Travel within California is a requirement for this position.
